Guidelines and Key Dates for Oral and Poster Presenters

You will find below a summary of key information for oral and poster presenters regarding their participation in the upcoming CWW2025 conference. 

Please read carefully to ensure all requirements and deadlines are met.

Oral Presentations

Oral presentations must be delivered in person. Two types of oral presentations will be scheduled:

Each parallel or panel session will include 4 to 6 speakers, and about 3-minute Q&A period per speaker will be held collectively at the end of each session, not immediately after individual talks.

A standard (but simple) PowerPoint template is provided for oral presentations. This template is sent directly to each presenting author. It includes a standardized title slide and a visual frame to be used on each slide. The default slide size is Widescreen (16:9) landscape 33.867 x 19.05 cm or 13.333 x 7.5 inches. The standard template sent must be used.

Apart for the 1st slide and the logos on the top of each slide, you can customize your presentation (structure, text size, colors, pictures, etc.).

Final presentations must be submitted ideally in Powerpoint format at the latest on August 20, 2025. But we kindly ask you if possible to send your presentation before the deadline.        

You can send your presentation to the organizing committee via two ways:

Please ensure your slides are clear, accessible, and readable from distance (avoid overly dense text or complex visuals).              
 Bring a backup of your presentation (on a USB stick, for example).

Important information for the 12 minutes oral presentation : for organizational reasons, the 12 minutes slot must include speaker change and all your presentation (incl. hello, thank yous, etc.). Therefore, we ask all presenters to plan for a 11-minutes long presentation at max. Please note that all parallel sessions moderators will be asked to stop each presentation after 11 minutes 30 seconds maximum with no exception and no possibility to extend it. This is to ensure equity between all presenters, and make sure parallel sessions will finish on time, while ensuring enough time for a dedicated Q&A moment at the end of each session.

 

 

Poster Presentations

Posters should be printed in A0 format. All posters must be in portrait orientation which means 84,1 cm (width) x 118,9 cm (height).     
 There is no specific template, no poster ID, and no video recording required.

Each poster will be attributed a personal and unique number that will be attached on the poster panels, by the organizing committee, above each poster.

Poster authors are expected to stand by their posters during the poster sessions to discuss their work and answer questions. If a contributor has multiple posters, the organizing committee will do its best to regroup them for ease of presentation (this cannot be guaranteed though).

The main poster session will be held on Tuesday 9th September evening with a dedicated poster reception including a cocktail. All poster presenters are asked to attend that poster reception.

Posters will also be visible, on a dedicated room on Wednesday and Thursday. Poster presenters will be very welcome to stand by their poster during breaks.

As a reminder : so has to facilitate travel conditions, the conference organizers are planning to print all posters on site before the conference, free of charge.

If you want your poster to be printed onsite, free of charge, by the organizing committee, the final version of your poster (PDF format) must be submitted by August 20, 2025 to the organizing committee. But we kindly ask you if possible to send your poster before the deadline.

Please note no late change in poster will be possible. So we kindly request to receive all final version of your posters by August 20.

Please note that all accepted abstracts will be re-opened for 6 weeks on ExOrdo, so that authors can make changes such as:

Please note that only minor changes are accepted. Significant changes could end up with the cancellation of your abstract acceptance.

All corresponding authors or accepted abstracts will be informed once rights for modification on ExOrdo are re-open.

Every speaker and poster presenter must register to attend the conference. 

If not done yet, we urge you to register as soon as possible (RegistrationCWW2025) so as to make sure to secure your attendance.
